Safeguarding Policy

This policy explains how EduTrack DoTruong protects the welfare of everyone who uses our service — especially students under 18. We keep it short and practical; if anything here isn’t clear, please get in touch.

1. Our commitment

EduTrack DoTruong takes safeguarding seriously. A student’s welfare always comes before service continuity. We have zero tolerance for abuse, bullying, or inappropriate conduct — by anyone, against anyone.

2. Who this applies to

Our students (especially under-18s), their parents and guardians, our teachers, and everyone representing EduTrack DoTruong.

3. Our key principles

At EduTrack DoTruong:

  • We listen to learners and treat concerns seriously, never dismissively.
  • We put child safety ahead of adult convenience.
  • We believe no topic is too small to raise with us.
  • We work transparently with parents of under-18 students.

4. Where lessons happen

  • Lessons take place on the meeting link shared through the EduTrack DoTruong app — not on random third-party platforms.
  • Students and teachers both meet from a private, appropriate setting.
  • For students under 18, a parent or guardian is welcome to be in the same room, silently observing, if they or the student prefers.

5. Communication boundaries

  • All lesson arrangements happen through the app or through the nominated email address in this policy.
  • Teachers do not contact students privately on WhatsApp, Instagram, personal phone numbers, or any other platform.
  • Teachers do not request to “stay in touch” outside of lessons.
  • If a student or parent wants to reach us, they use EduTrack DoTruong’s contact form — never a teacher’s personal channel.

6. Recording and screenshots

  • By default we do not record lessons. If a recording would be helpful (e.g. for the student’s revision), it is made only with explicit consent from the student and, for under-18s, their parent or guardian.
  • Recordings are stored securely in line with our Privacy Policy, deleted when no longer needed, and never shared without consent.
  • Screenshots containing a student’s face or personal details follow the same rule.

7. Teacher conduct

Our teachers agree to:

  • Be professional, punctual, inclusive.
  • Avoid personal relationships with students that go beyond teaching.
  • Flag any concern about their own conduct, or a colleague’s, to EduTrack DoTruong immediately.
  • Peer accountability: if one teacher sees another behave inappropriately, they are expected to report it.

8. Raising a concern

  • Students, parents, or anyone else who’s worried can message us via EduTrack DoTruong’s contact form.
  • We treat every concern as a priority and respond as soon as we reasonably can.
  • Serious concerns are escalated to the safeguarding contact: hello@dotruong.uk.
  • Nothing told to us in confidence about a student’s safety will be used to reprimand the person who raised the concern.

9. For students under 18 — parents’ role

  • A parent or guardian should be aware of the EduTrack DoTruong account, review this policy, and feel able to sit in on lessons.
  • Parents can request a progress summary or lesson history at any time.
  • Parents can ask to pause or end their child’s account at any point.

10. Confidentiality and its limits

We respect what students share with us in lessons. However, if a student tells us something that suggests they or another child is at risk of serious harm, we will:

  • Encourage them to speak to a trusted adult (parent, school teacher, counsellor).
  • May advise them to contact their local safeguarding authority (the specific service depends on where they live).
  • Will not maintain confidentiality where a child’s safety is at stake.

EduTrack DoTruong is a small service and we are not a substitute for trained safeguarding professionals. In a genuine emergency — immediate danger, abuse in progress — we will advise contacting local emergency services.

Governing law: this policy is written to meet the expectations applied in England and Wales and to respect local safeguarding laws wherever our students live.

11. Policy review

  • This policy is reviewed at least annually, or sooner if a significant concern is raised.
